To claim an eligible tax relief or deduction through Kenyan payroll, tell your employer what you are claiming, provide evidence for the relevant period and check how it appears in the payroll calculation. Sending a receipt without identifying the claim can leave payroll unable to apply it correctly.
Start with the PAYE calculator to understand the possible effect, then use the steps below to make a clear request. An estimate does not establish eligibility.
Identify the claim before submitting it
Personal relief, insurance relief, pension deductions and mortgage-interest deductions do different jobs. A deduction changes taxable income; a relief changes calculated tax. Use the tax relief guide to identify the relevant category, and the detailed PAYE deductions and reliefs guide for the wider picture.
KRA’s employer notice, dated 6 October 2025, confirms that relevant supported claims should be reflected in payroll. It specifically tells employees to provide required documents promptly. This is an existing employer obligation, not a promise that every submitted expense qualifies.
Send one organised request
- Name the claim and the payroll month you want reviewed.
- State the amount paid and the period it covers.
- Attach the supporting statement or certificate and identify the provider.
- Ask payroll to confirm receipt, any missing evidence and the processing month.
- Keep the response with your records.
A practical request might say: “Please review my insurance-relief eligibility for October. I have attached the policy details and premium statement. Please confirm the qualifying amount, whether further evidence is needed and when the adjustment will appear.” This is a suggested message, not an official KRA form.
Submit before your employer’s payroll cut-off
Ask for the employer’s internal deadline. Do not confuse that processing cut-off with a statutory tax-return deadline. A late submission may need a later payroll review, but the employer should explain the treatment of any earlier affected period.
Use your employer’s approved private channel. Policy and financial records should go to the payroll contact handling the claim; they do not need to be posted in a general staff group.
Check the result, not just the receipt
Consider a resident employee paying KES 4,000 for a qualifying monthly insurance premium. At a 15% relief rate, the illustrative relief is KES 600, subject to the applicable cap and sufficient tax to offset. It does not refund the whole KES 4,000 premium. The insurance relief guide explains eligibility and limits.
Compare the new computation with the previous one using the same earnings assumptions. If salary or benefits changed too, the net-pay difference will not isolate the relief. Ask payroll to show the qualifying amount and tax adjustment separately.
Handle a rejected or missed claim
Ask whether the issue is missing documents, eligibility, a statutory limit or timing. Resolve that specific issue first. For an earlier period, ask which payroll or return correction is appropriate; do not simply claim the same amount again without reconciling what has already been allowed.
Prepare your evidence with the PAYE tax-relief documents checklist. If the calculation remains unexplained, follow the wrong PAYE correction guide and retain the written correspondence.
